Step 1: Posting a
Job
The following information is required to
post a position on the Student Employment website. Please
e-mail it to sombusiness.office@yale.edu
and we will notify you when the job is posted. Note: If you have already selected a candidate, include
her/his name with this information. Although a candidate has been
selected, the job still must be "posted" for internal procedure.
The job, however, will not be publicly listed on the Student Employment
website.

This is the person who will have access to the Student Employment
site and to whom students will submit applications. Generally
this is the hiring supervisor.

Please note: If you have access to the Student
Employment website to view applications you are technically
able to post jobs and hire students. At this time we would prefer
that these responsibilities stay with the Business Office staff. Therefore
we request that you refrain from using these functions.
Step 2: Determine Pay
Rate
The rate of pay is calculated based on the answers to eight questions
(see questionnaire). Jobs are classified into five levels as follows:
Level One: $11.50/hour
Level Two: $12.00/hour
Level Three: $12.50/hour
Level Four: $13.00/hour
Level Five: $13.50/hour
It is possible to pay a higher rate than the questionnaire assigns.
In your job posting e-mail, please include an explanation for the
higher rate. Step 3: Hiring an Employee
Once you have selected a candidate, notify
the Business Office of her/his name and start date. We
will hire the student via the Student Employment website and contact
the student directly if she/he needs to complete any employment paperwork.
Step 4: Paying an Employee
Ask the student to complete a timesheet
for every week worked. Due to Yale’s particular payroll system, hours
from multiple weeks cannot be combined and a separate timesheet for
each week of work is needed. The supervisor must keep track of the
hours worked and verify those hours when signing the timesheet. Note: We occasionally have problems with students with
multiple jobs submitting timesheets for overlapping hours. This is
why it is critically important that students submit these timesheets
on a regular basis so that we can assure no overlapping hours. Please
do not allow them to hold timesheets until the end of the semester.
Timesheets, including supervisor signature, are due in the Business
Office each week on Monday mornings by 10 AM.
